RingCentral – Basics
- You will NOT need to dial a 9 or 1 to make an outside call. Just call using 10 digits.
- You will have a 10-digit number that can be dialed directly - It would be most effective for you to list your direct number in all communication (business cards / email signature). Use of the 800 number costs us a per minute charge and is an outdated function. Please move to retire this from publications. Use your DID first and then 317-236-1400 for anything needing a general office number.
- By default, all voicemails received will show up in your email with both transcription and the message as an attachment. You can still access them via the phone as well via the Voicemail key on your new phone.
- Your existing phone # can also receive faxes. Any fax sent to your phone # will show up in your email.
- Your existing phone # can also now send / receive SMS text messages via the Windows app or the Smartphone app.
- RingCentral will utilize single sign on (SSO), using your email address and the password for your email. Make sure to always specify the SSO option whenever you have to login.
- No VPN needed in order to use RingCentral on your laptop when you are out of the office.
- Extensive training is available at university.ringcentral.com (click Sign In and then choose SSO).
- 1754 will call the Front Desk
RingCentral – Accessing Your VM
By default, everyone has been setup to receive their voicemails via email.
Voicemails can still be accessed via your RingCentral physical phone.
- Press the key underneath the Voicemail label on the screen
- Enter your PIN (102030 if the default)
- Listen to prompts for options
Additionally, you can call your own phone number and when you hear your voicemail greeting, press the * key, then enter your PIN and press the # key.
And yet another option is to listen to your voicemails via the optional Windows application or Smartphone application. These alternatives offer greater flexibility as to what you can do with the voicemail.
RingCentral – Transferring a Call
Transfer – warm handoff
- While on a call, press the Transfer softkey
- Dial the number (4 digit ext or 10 digit) of where you want the call transferred to
- Press the Transfer softkey again to complete the transfer
Blind Transfer – cold handoff directly to a person’s voicemail
- While on a call, press the Transfer softkey
- Press the Blind softkey
- Enter *0 (asterisk zero) and then the number (4 digit ext or 10 digit)
- Wait for a couple of seconds for the transfer to complete automatically, or press the
# (Hash key) to dial out
Conference someone into a call
- While on a call, press the More softkey
- Press the Confrnc softkey
- Input the person’s number (4 digit ext or 10 digit) that you want to conference in.
- Wait for that person to pick up
- Press the More softkey
- Press the Confrnc softkey
- All callers should now be on the conference call
Please complete this step as soon as you receive this documentation
The default voicemail greeting is set to:
"Your call has been forwarded to the voicemail for (John Smith). No one is available to take your call. At the tone, please record your message. When you've finished recording, you may hang up or press the # key for more options."
- If you want to leave this as is, please call your temporary number to listen to your voicemail and verify your name is being pronounced correctly.
- Leave yourself a test voicemail and then verify you receive an email with the vm. (if you do not, please open a normal IT Helpdesk ticket).
If you need to record a custom vm greeting, follow the instructions below.
Record a custom voicemail greeting:
- From any phone (just make sure there are not distracting background noises), Call your temporary number.
- After the voicemail recording begins to play, Press: *
- Enter 102030 and press: #
- Press: 2 (change vm greeting)
- Press: 2
- Press: 2
- Press: 2
- Press: 3
- Record and then Press: #
- Press: 1 to save
- You can now hang up
- Call your temporary number, listen to your vm greeting, leave yourself a test message
- Verify that you receive your message via email
- OPTIONAL – Change your VM PIN code from the default to a PIN only you know (suggested)
- From any pone, Call your temporary number.
- After the voicemail recording begins to play, Press: *
- Enter 102030 and press: #
- Press: 2
- Press: 3
- Enter current PIN of 102030 and press: #
- Follow instructions for setting a new PIN
RingCentral – Mobile
- For with Android or iPhone, download the Ring Central app from your app store.
- Start the RingCentral Application on your phone
- Click “Sign In”
- Click “Single Sign-on”
- Type your email address and check the box next to “remember me”, then click Submit
- If prompted for password and two factor authentication code, enter those
- When asked to “Open this page in “Ring Central?””, click Open
- Click OK on the Emergency services notification
- Click “Allow”
- For the “RingCentral” Would like to Access Your Contacts – your choice on this one but if you want RingCentral to be able to use your phone’s contact, click “OK”
- Click OK on the next screen to allow RC to use your microphone
- Take your choice on allowing Siri to have access
- Finally, click “Skip” at the bottom of the screen and to start using RC on your phone!
