Administrative Assistant

The Administrative Assistant provides essential clerical and administrative support for Saint Margaret Mary Parish. Serving as the primary point of contact, this role manages communications, assists parishioners and visitors, supports parish operations, and works closely with clergy and staff to ensure efficient day-to-day operations in a welcoming, Christian environment.

Essential Duties

  • Serve as the primary contact for phone, email, mail, and in-person inquiries
  • Greet and assist parishioners, visitors, and vendors
  • Schedule appointments, parish events, and facility usage
  • Manage correspondence, records, and filing systems
  • Support financial tasks including expense tracking and documentation
  • Order and manage office supplies and vendor services
  • Coordinate priest schedules and assist with parish events
  • Support volunteers and collaborate with parish staff
  • Perform other administrative duties as needed

Qualifications

  • High school diploma or equivalent required
  • 1–3 years of administrative or office experience preferred
  • Strong organizational, communication, and interpersonal skills
  • Proficiency with Microsoft Office, Google Workspace, Adobe, and office equipment
  • Ability to manage multiple tasks independently and confidentially
  • Willingness to support the mission of the Catholic Church
  • Must comply with Archdiocese of Indianapolis Code of Conduct
  • Background check, Child Safety Training, and valid driver’s license required

Work Environment

  • Office-based position during parish business hours
  • Regular use of computer and administrative equipment
  • Ability to lift up to 25 lbs and sit for extended periods
