Our St Paul the Apostle parish from Greencastle, IN is seeking a faith-filled, organized, and welcoming Parish Secretary to serve as the primary point of contact for parishioners and visitors while supporting the daily administrative life of the parish.
This role provides essential administrative support to the parish, including preparing Masses, announcements, and petitions, coordinating priest backups, and assisting with office operations like answering phones, managing emails, and updating calendars. Responsibilities also include supporting pastoral activities, such as scheduling, maintaining mass intention records, and coordinating communion calls. Additionally, the position involves entering donations into the parish financial system, preparing weekly bulletins, and handling other tasks to ensure the smooth operation of the parish, school, or agency. Strong organizational, communication, and multitasking skills are essential. This is four days a week job for twenty hours Monday through Thursday.
The Parish Secretary serves as the primary administrative support for the parish, functioning as the first point of contact for parishioners and visitors. This role requires professionalism, discretion, organizational skill, and a welcoming spirit consistent with Catholic values. This role supports daily office operations, parish communications, and record keeping. Administrative experience and strong communication skills are preferred.
Essential Functions:
- Prepare Masses, announcements, intentions, and petitions for pastor
- Coordinate priest back up for anointings and other similar activities when pastor is on vacation
- Support Parish Office: answering phones, responding to emails, overseeing office supplies, updating calendars, and ensuring education materials are available
- Support Pastoral Activities: preparation of ministerial schedule, complete checklists for wedding ceremonies, maintain mass intention records, and coordinating communion calls
- Enter donations into parish financial system
- Prepare and distribute weekly bulletins
- Other duties as necessary to ensure efficient functioning of the School/ Parish/ Agency

Education and Experience:
- High School Diploma required, associate’s degree Preferred
- Administrative work experience or ability to complete administrative duties required, 1-3 years of administrative work experience preferred.
- Must be able to understand and to comply with the Archdiocese of Indianapolis Code of Conduct
- Must be able to successfully complete the Archdiocese of Indianapolis Child Safety Training
- Background screening required
