About the Parish

As the seat of the Archdiocese of Indianapolis, the Cathedral Parish of SS Peter & Paul is Catholic community dedicated to worship, service, and fellowship. We are seeking a mission-driven and detail-oriented Executive Assistant/Bookkeeper to support our parish operations and ensure smooth administrative and financial functioning.

Position Summary

The Executive Assistant/Bookkeeper provides high-level administrative support to the pastor and staff, manages parish communications and schedules, and handles bookkeeping functions in accordance with diocesan policies and accounting standards. This role requires discretion, professionalism, and a commitment to the values and mission of the Catholic Church.

Administrative Duties

  • Serve as primary point of contact for parish office—welcoming visitors, answering calls, and responding to inquiries.
  • Prepare weekly parish bulletin, announcements, and communications.
  • Maintain parish records, sacramental registers, and filing systems.
  • Assist in planning and coordinating parish events, meetings, and ministries.
  • Support onboarding of volunteers and maintain Safe Parish compliance records

Bookkeeping Duties

  • Process accounts payable and receivable.
  • Record and reconcile weekly offertory contributions and online giving.
  • Manage payroll.
  • Prepare monthly and yearly financial statements for pastor, finance council, and Archdiocese.
  • Assist with annual budget preparation and year-end reporting.
  • Ensure financial procedures align with Archdiocesan guidelines and internal controls.

Qualifications

  • Experience in administrative support and bookkeeping (parish or nonprofit experience preferred).
  • Proficiency with accounting software
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication abilities.
  • Ability to maintain strict confidentiality.
  • Comfort working in a faith-based environment and supporting the mission of the Catholic Church.
  • High level of professionalism, reliability, and integrity.

Preferred Skills

  • Familiarity with diocesan policies and parish operations
  • Knowledge of office software: Microsoft Office, Microsoft Teams, Outlook etc.
  • Bilingual (English/Spanish) a plus

Work Environment

  • This is an in-person role
  • Regular parish office hours, with occasional weekend or evening responsibilities for events.
  • Interaction with parishioners, staff, vendors, and ministry leaders.
