Pre-Arrival / Client Arrival Coordinator

The Pre-arrival/Client Arrival Coordinator is responsible for all airport arrivals. This position will coordinate all items needed to welcome the arriving client at the airport.  Under the supervision of the Supervisor of Resettlement, the Pre-arrival/Client arrival coordinator will work closely with the Client Services Manager and the Pre-Arrival Apartment Set up Coordinator.  This position requires flexible schedule, to accommodate airport arrivals outside of typical office hours.  The Client Arrival Coordinator will facilitate client phone, track client pocket cash, ensure client is supplied with a culturally appropriate hot meal, maintain case notes that pertain to client arrival communication with clients US Tie and client.    As well, this position will work with the apartment set up team, and other tasks as necessary and Can accommodate changing needs of clients given changing arrival schedules, cultural preferences, unique and unexpected needs as they arrive, with the ability to prioritize needs and fulfillment of these.

Essential Functions

  • Connect with family member or sponsor (US Tie) assisting the refugee to coordinate airport arrival and establish hot meal plan for arriving client.
  • Plan culturally appropriate Hot Meal, if not provided by US tie, create voucher, ensure client signs, scan to client file.
  • Request, pick up, and track Pocket cash from Accounting Department.
  • Gather donated coats, purchase car seats for arriving clients, prior to arrival.
  • Create vouchers for pocket cash, arrival coats, client phones, and car seats for client to sign at arrival.
  • Create emergency contact list with client Case Managers name and 24-hour visit instructions to give at arrival.
  • Create client Email for all adult clients and add to arrival spreadsheet and phone spreadsheet.
  • Give client phone at airport arrival, ensure client signs phone agreement, scan signed agreement into client file.
  • Transport client to new home or US Tie’s home. Walk through new home with client as needed.
  • Back up Apartment Setup Coordinator with apartment setups, coordinate apartment keys at client arrival.
  • Ensure all case notes and documents for pre-arrival and airport arrival are completed in ETO and RF-4.
  • Other duties as necessary to ensure efficient functioning of the School/ Parish/ Agency

Education, Training and/ or Experience

  • Bachelor’s degree in social work, Teaching or related field is preferred.
  • Experience working with diverse populations is preferred.
  • Must be able to understand and to comply with the Archdiocese of Indianapolis Code of Conduct
  • Must be able to successfully complete the Archdiocese of Indianapolis Child Safety Training
  • Background screening required.
  • Valid driver’s license required

Working Environment

  • 50% of time in office,50% outside of office
  • Flexible schedule, odd hours including early mornings, late nights and weekends as needed depending on need
